Profify is committed to protecting your personal data. We've written this Privacy Policy in plain, clear language so you always know exactly how your information is used and protected.
Please read this policy carefully before registering an account or submitting any personal information through profify.ca. This Privacy Policy applies to your use of all Profify services as defined in our Terms of Service.
GENERAL
You may browse profify.ca without creating an account — for example, to explore available tutors and coaches, read content, or learn how Profify works. However, when you visit our website, we automatically collect certain log information and may place cookies on your device to help the site function properly. You may opt out of non-essential cookies at any time.
When you register an account, Profify may collect and process the personal data you provide, including your first name, last name, email address, phone number, time zone, interface language, IP address, and device type.
If you register as a tutor or coach, we may also collect additional profile information such as your postal code, city of residence, education history, qualifications, and professional experience.
Registered users may also provide a profile photo and select a preferred currency in connection with payments.

3. DATA WE COLLECT
3.1 Student Accounts
When you register as a student, we collect your login credentials (username and password), first name, last name, and email. You may optionally add additional profile details and sync your calendar to manage scheduling.
3.2 Tutor / Coach Accounts
When you register as a tutor or coach, we collect your login credentials, first name, last name, email, and proof of qualifications (e.g., copies of diplomas, certifications, or credentials). You may optionally add further profile details, including your location, skills, work experience, and background. Some profile information (such as your name and general location) may be publicly visible to other users.
3.3 Newsletter & Blog Subscriptions
If you subscribe to Profify communications, we collect your email address to send you updates, articles, and announcements.
3.4 User-Submitted Content
We process personal data you voluntarily submit on Profify — including survey responses, feedback forms, questions, reviews, and messages exchanged between users. By submitting content on the platform, you acknowledge it may be visible to other users (students and tutors/coaches).
3.5 Platform Usage, Cookies & Tracking Technologies
When you use Profify, we monitor and analyze web traffic and usage patterns to improve our services. Please refer to our Cookie Policy for full details on the cookies and tracking technologies we use.
3.6 Billing & Payment Information
We process transaction details (such as transaction ID, date, and time) carried out through the Profify platform. Payment card details are handled exclusively by our third-party payment processors and are never stored on Profify's servers.
3.7 Communications with Support
When you contact Profify's support team, we process the information you share with us to respond to your inquiry and improve our services.
3.8 Marketing & Profile Promotion
With your explicit consent, we may use your tutor/coach name, photo, qualifications, and professional description for promotional purposes on Profify's website and social media channels. You may withdraw this consent at any time by contacting us at support@profify.ca.
3.9 Sensitive Data
Profify does not collect or process sensitive personal data (such as biometric or health information) unless you have expressly consented and it is required to deliver a specific service.
3.10 Tax Documentation
To comply with Canadian tax and accounting requirements, we may process your full legal name, address, date of birth, and tax identification number where required.
4. HOW WE USE YOUR DATA
4.1 Service Delivery
We use your personal data to operate the Profify platform — creating accounts, connecting students with tutors/coaches, enabling scheduling and session management, and facilitating communications and payments.
4.2 Payments
Profify uses trusted third-party payment processors (such as Stripe) to handle billing. We do not store your payment card information on our servers. All payment transactions are SSL-encrypted.
4.3 Communications
We may contact you by email or push notification for service-related purposes — such as booking confirmations, security alerts, policy updates, and reminders. You can manage your notification preferences in your account settings.
4.4 Marketing
With your consent, we may send you commercial communications about Profify's services, features, and promotions. You may unsubscribe at any time via the link included in each marketing email.
4.5 Analytics & Platform Improvement

6. DATA RETENTION
Profify retains your personal data only for as long as necessary for the purposes described in this Policy.
· Your data is retained for the duration your account is active.
· If your account has had no activity for more than 2 years, it will be considered inactive. You will be notified prior to any deletion.
· Upon account deletion, we will remove your personal data from our active systems within 90 days.
· Some data may be retained longer to comply with legal, tax, or accounting obligations, or to resolve disputes.
· Newsletter subscription data is retained until you unsubscribe.
7. YOUR RIGHTS
As a user of Profify, you have the following rights regarding your personal data under PIPEDA and applicable Canadian privacy law:

8. SECURITY
Profify implements appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, destruction, or disclosure. We use verified service providers under data processing agreements and employ encryption and access controls on all sensitive data.
In the event of a data breach that may materially affect your rights, Profify will notify you and the relevant authorities without undue delay, in accordance with applicable Canadian law.
9. CHILDREN'S PRIVACY
Profify's services are not intended for children under the age of 13. Users between the ages of 13 and 18 must have parental or guardian consent to use the platform. We do not knowingly collect personal data from children under 13. If we become aware that such data has been collected without consent, we will delete it promptly.
